Your Offboarding Checklist

Four things to take care of before your ClickLearn access ends.

Complete Your Exit Interview

A required step: your cancellation is not finalized until this is done.

Required to Cancel

Before your cancellation is finalized, you'll complete a short exit interview, just a few minutes. Your input helps us understand what didn't work and shapes how we improve ClickLearn for everyone.

Your cancellation is not complete until this step is submitted. Once submitted, you'll receive a confirmation and your license expiry date, which starts the 30-day window for downloading your content.

Download Your Content Before It Expires

You have 30 days after your license terminates to take everything with you, for free.

30-Day Download Window

Download your content within 30 days of your license terminating. Once that window closes, self-service download is no longer available and an assisted export fee applies.

Use either the ClickLearn Portal or ClickLearn Studio; both methods are covered below.

Published output (HTML, SCORM, video, etc.), available via Portal and Studio

🎬 Raw Recordings

Original recordings captured in Studio. Export before your license ends

📁 Export Projects

ClickLearn project files (.clprjx) or recording files (.clrx), needed to re-edit content in future

📊 Usage Statistics

Full analytics available via the OData service. The Portal provides minimal data with date range filtering only; export before expiry

Good to Know

The downloaded ZIP is fully self-contained: you can open and use your content without a ClickLearn account. Open project.htm inside the ZIP to view it in any browser.

Via the ClickLearn Portal

  1. 1Open ClickLearn Studio and click your Profile.
  2. 2Select "Administrative Portal".
  3. 3In the Portal, click "Published Content".
  4. 4Find your content item and click the three-dot menu (⋮) beside it.
  5. 5Click "Download Produced Content".
  6. 6Open your Profile, wait for the notification, then click Download to save the ZIP.

Via ClickLearn Studio

  1. 1Open ClickLearn Studio, open your Project, and click "Settings".
  2. 2Inside Settings, click "Published Content".
  3. 3Find your content item and click the three-dot menu (⋮) beside it.
  4. 4Click "Download Produced Content", then save the prepared ZIP.

Need Help After the Window Closes?

If you're unable to download your content within the 30-day window, ClickLearn can perform an assisted export on your behalf. This is a paid service charged at €1,000 per 5 projects.

To arrange an assisted export, contact your Customer Success Manager or email Support@ClickLearn.com before your data is purged at Day 90.

Offboard Your Users & Disconnect Integrations

Do this while you still have admin access, before your license expires.

Admin Action Required

Once your license expires, you lose admin access to the Portal. Take care of the following before your expiry date:

  • Notify your end-users that ClickLearn access will end on your expiry date, and the date their learning content will become unavailable.
  • Remove or deactivate end-user accounts via the Administrative Portal to comply with your own data retention obligations.
  • Disconnect any integrations (SharePoint, Microsoft Teams, LMS connections, or SSO) to prevent broken links or auth errors after expiry.
  • Export any end-user analytics or usage reports you wish to retain; these are not included in a standard content download.

On a Perpetual License? Here's What Changes

If you own a perpetual license, cancelling works differently: you keep the software, but the cloud-connected services around it end.

You Keep Studio Access

When you cancel, you retain access to the version of ClickLearn you had at the time your license expired. You can continue to edit, maintain, and create new content in ClickLearn Studio, exactly as you did before.

  • Cloud content hosting capabilities
  • Updates to ClickLearn Studio
  • Updates to your connectors
  • Support, training, and other services from ClickLearn

How We Handle Your Data

Your privacy stays protected, in line with GDPR and our Data Processing Agreement.

Permanently Deleted After 90 Days

Delete your own data before your license term ends. Once your license expires, you will no longer have access to manage or remove content yourself.

You have 30 days from termination to download your content yourself. After that window, only an assisted export (a paid service) is available until your data is purged at Day 90.

Any data remaining after your license terminates will be securely and permanently purged by ClickLearn within 90 days of termination. When that period passes, all of your data is deleted from our systems and cannot be recovered by anyone, including ClickLearn.

Need it gone sooner? You can request early deletion at any time by sending a written request to Support@ClickLearn.com. We will confirm receipt and process it within 30 days.

This process follows applicable data-privacy laws, including the GDPR, and our Data Processing Addendum.
