Recording actual PowerPoint Presentations

Background:

In order to introduce a system process you may find it valuable to provide users with a topic introduction that provides context of how all recordings within a given book are related. 

For regular classroom training this typically involved providing PowerPoint presentations before diving into the system demonstrations and exercises. 

At PCL we currently refer to these as “Overview” recordings.

Preparation of PowerPoint content:

  • If you intend to create multiple overviews, create a PowerPoint template (.potx) so all overviews will retain a similar look (same slide sequence, layouts color/fonts etc.) 
  • You may also want to use this template to generate your Intro and Outro images.
  • One of the core elements we wanted was to use standard swimlane diagrams to explain the parties and functions they perform. Each of the boxes typically relates to a subsequent recording. These are animated in PowerPoint to show the process flow.
  •  

  • PowerPoint animations can be recorded for ShowMe for a more dynamic feel. We’ve found Click/Appear animation works best. (avoid fly-in etc.)
  • PowerPoint Slide Speaker Notes can be used to plan the additional text that will expand upon the animated text/images and will be copied into the recording.  
  • PowerPoint images:
    • SaveAs and export slides as PNG files so the HTML/PDF can be summarized. 
    • We also use PowerPoint Add-in PPspliT release 1.20 by Massimo Rimondini http://www.dia.uniroma3.it/~rimondin/ to allow the animations to be split into separate slides so we can save use them as images as we see fit.  The SaveAs PNG as above

ClickLearn Studio:

Recording PowerPoint

  • Start a new recording and select the Office for 365 Windows connector
  • Record each PowerPoint slide by ‘clicking’ (NOT pressing the arrow keys).
    • This allows for better Instruction Text tailoring ability (include bolded text with Tooltip and Text fields)  

Editing

  •  Sample Recording: 
  • Red are PowerPoint recorded steps.
  • Pink is manually added Note summarizing video steps for HTML/PDF.
  • For PowerPoint animated steps only show in ShowMe:
    • Instruction Off: checked 
  • For HTML/PDF content you will likely want to summarize the PowerPoint and don’t want to show every animation as a unique step.  So, we add new Notes at the end of each grouped steps.
    • Add a new Note to the recording below the recorded steps.
    • Notes:  include the text to be displayed
    • Picture: insert Link to appropriate PowerPoint PNG file
    • Placement: Outside (otherwise too small)
    • Instruction Off: not checked
    • Video Off: checked
    • Video Text Mode: None
